Who we are

Managing a residential development can be demanding. Whether you are a director of a Residents' Management Company, a Right to Manage Company or responsible for a freehold estate, you need a managing agent that understands both the legal responsibilities involved and the expectations of the people who live there.

At Butlin Property Services, we provide professional leasehold block management and freehold estate management, working closely with directors, leaseholders and homeowners to protect your development, control costs and maintain high standards.

We believe good property management should be proactive, transparent and responsive. Our role is not simply to collect service charges and arrange contractors. We work in partnership with our clients, providing practical advice and day-to-day support so that directors can make informed decisions about their development.

We manage developments across Leicester, Leicestershire, the East Midlands, the Home Counties and further afield.

Who we work with

Specialists in resident-controlled developments

It is increasingly common for leaseholders to have direct involvement in, or control over, the management of their development. A significant proportion of our clients are Residents' Management Companies (RMCs) and Right to Manage (RTM) Companies, including:

RMC

Freehold-owning Residents' Management Companies

Where the residents' company owns the freehold of the development.

RMC

Residents' Management Companies with management responsibilities

Where responsibility for managing the development is vested in the company under the terms of the leases.

RTM

Right to Manage Companies

Where qualifying leaseholders have acquired the statutory right to take over the management of their development.

Whatever the structure of your development, we can work alongside your directors to provide the professional support required to manage it effectively.

Our services

You remain in control

Appointing a managing agent should not mean giving up control of your development.

As directors and members of your management company, you set the priorities. We provide the professional knowledge, administration and practical support needed to put those decisions into effect.

  • Service charge budgeting and financial management
  • Service charge collection and arrears management
  • Planned and reactive maintenance
  • Contractor procurement and supervision
  • Buildings insurance administration
  • Major works and long-term maintenance planning
  • Statutory and lease compliance
  • Health and safety and risk management
  • Leaseholder and homeowner communications
  • Site inspections
  • Management of communal areas and estate facilities
  • Guidance to directors on their management responsibilities

Our objective is simple: to make your development easier to manage, better maintained and better supported.

Company secretarial

Company administration for RMCs and RTM Companies

Running a Residents' Management Company also brings company administration responsibilities. Where required, we can provide additional support including:

  • Acting as Company Secretary
  • Arranging and assisting with Annual General Meetings
  • Coordinating the preparation and submission of company accounts
  • Completing and filing the annual Confirmation Statement
  • Providing our offices as the company's registered office
  • Supporting directors with routine company administration

This allows directors to concentrate on the important decisions affecting their development while we take care of much of the day-to-day administration.

Freehold estates

Freehold estate management

Our services are not limited to traditional leasehold apartment blocks. We also provide professional management for freehold residential estates, where homeowners contribute towards the upkeep of shared facilities such as:

  • Private roads
  • Landscaped areas
  • Drainage systems
  • Lighting
  • Open spaces
  • Shared facilities

We can assist resident-controlled management companies and other property owners with the budgeting, collection, administration and expenditure of estate charges, together with the practical management of the communal estate.

Switching agents

Thinking of changing managing agent?

Changing managing agent can sometimes appear complicated, but it need not be. If you are unhappy with your current arrangements, perhaps because of:

  • Poor communication
  • Rising management costs
  • Slow responses
  • Inadequate maintenance
  • A lack of transparency

we would be pleased to discuss how your development could be managed differently.

Questions

Frequently asked questions

What is a Residents' Management Company (RMC)?

A Residents' Management Company is a company, usually owned by the leaseholders or homeowners as members, that is responsible for managing a residential development. Some RMCs own the freehold of the development; others have management responsibilities given to them under the terms of the leases. Many RMCs appoint a professional managing agent to support their directors.

What is the difference between an RMC and an RTM company?

An RMC's responsibilities come from the leases or from owning the freehold. A Right to Manage (RTM) company is formed by qualifying leaseholders under the Commonhold and Leasehold Reform Act 2002 to take over management of their building from the landlord, without buying the freehold. We manage developments for both.

Do directors lose control if they appoint a managing agent?

No. The directors and members of the management company set the priorities. We provide the professional knowledge, administration and practical support needed to put those decisions into effect.

Can you act as company secretary for our RMC or RTM company?

Yes. Where required, we can act as company secretary, arrange and assist with AGMs, coordinate company accounts, file the annual Confirmation Statement, provide a registered office address and support directors with routine company administration.

Do you manage freehold estates as well as apartment blocks?

Yes. We manage freehold residential estates where homeowners contribute to the upkeep of shared facilities such as private roads, landscaped areas, drainage, lighting and open spaces, including budgeting, collecting and administering estate charges.

How do we change managing agent?

Start by checking the notice terms in your current management agreement. We can review your existing arrangements and provide a free, no-obligation management and service charge assessment so your directors can compare cost and service before deciding.

How are our service charge funds protected?

Client funds are held in a dedicated client trust account with Barclays Bank, separate from company money, and are checked every year by independent accountants. We are a member of The Property Ombudsman (TPO).

Which areas do you cover?

We are based at 40 Howard Road, Clarendon Park, Leicester, LE2 1XG, and manage developments across Leicester, Leicestershire, the East Midlands, the Home Counties and further afield.
